JOB SUMMARY
Provides efficient, effective and professional support for the department by performing various duties such as organizing, scheduling, and coordinating administrative work.

 

TYPICAL DUTIES & RESPONSIBILITIES
(Not all inclusive or applicable to all assignments)

1.     Prepares written correspondence and coordinates, verifies, and compiles reports and data as requested.
2.     Proactively handles inquiries, independently taking care of requests where possible, and directing unresolved issues to the appropriate staff or management. Follows up as required to ensure customer service and satisfaction.
3.     Provides guidance and support to peers and internal clients regarding processes, procedures, equipment, and workflow.  Oversees and assigns tasks within workgroup as required to ensure that deadlines are met.
4.     Responsible for the administration and coordination of events and presentations as required (i.e. customer appreciation and/or employee events, etc.).
5.     Performs administrative tasks for directors or managers with regards to SaskTel community involvement, helping to maintain SaskTel’s exposure and commitment to the community.
6.     Ensures confidentiality is maintained when referencing and appropriately releasing departmental information.
7.     Prepares requests for system and employee access and SAP actions for employee movement and keeps attendance records as required for directors and managers.
8.     Verifies and processes invoices, requisition to purchase, release orders, and goods receipts as required to ensure timely payment. Orders and tracks equipment, and supplies. Identifies and resolves discrepancies as requested.
9.     Manages various tasks in systems associated with departmental activities.
10.     Responsible for the collection, verification, and preparation of details related to various departmental requests.
11.     Orders tools and supplies and coordinates arrangements for travel throughout the province.
12.     May collaborate with external business partners and clients to complete tasks as required.

 

QUALIFICATIONS
1.     Office Administration certificate OR Level 30 Math with a minimum of 1-year relevant office administration experience.
2.     Working knowledge of SAP or enterprise resource planning software, specifically Human Resources, Materials Managements or Plant Maintenance modules.
3.     Keyboarding skills 20 wpm.
4.     General knowledge of applicable databases and corporately approved automation tools.
5.     Demonstrated organizational, analytical, problem solving, and decision-making skills.
6.     Ability to plan and organize in a self-directed environment.
7.     Good verbal and written communication skills and the ability to deal effectively with others.
8.     Working knowledge of personal computers and various software applications.
